Before anyone opens the box
Gulf receiving areas run hot. Move the parcel off the security desk and into the laboratory as soon as it is signed for. Log SKU, lot, time, and who accepted it. Match the vial lot in batch verification before the unit is released to a working fridge. The storage guide covers sealed-vial temperature once it is in inventory.
Inspecting the vial before it is accepted
Check the physical unit against the paperwork while the parcel is still open. Confirm the seal and crimp are intact, the stopper is seated, and the label is legible and matches the SKU and strength ordered. A label that has lifted or smeared in transit is a traceability problem regardless of the contents.
Look at the lyophilized cake itself. A well-formed cake is normally a uniform plug; material that has collapsed, shrunk away from the glass, melted into a film, or turned into loose powder pooled at the base has usually seen heat or moisture. Discolouration or visible particulates are also worth recording.
None of these observations is a pass or fail on its own — that judgement belongs to your acceptance criteria. Photograph anything unusual, note it in the receiving log, and hold the unit rather than shelving it and deciding later.
Who handles the vial
Only personnel named in your institutional SOP should open lyophilized material. Use the PPE and clean-bench rules that SOP already requires — VaultLabs does not define those.
Record the opener, date, and reason (aliquot, reconstitution, or inspection). A vial that cannot be tied back to a person is a documentation failure even if the powder looks intact.
Allow a vial taken from cold storage to reach room temperature before it is opened. Opening cold glass in humid Gulf air draws condensation onto the cake, which undoes the point of storing it dry.
